Event Planning

Event Planning helps a club plan its competition season around its athletes — keeping track of which competitions each athlete should attend, proposing them, and seeing who has confirmed. The goal is simple: get the right athlete to the right competitions.

Who can use it

Event Planning is part of the Club plan and is currently in beta. Coaches use it through the club: the club’s owner and adminscan plan and manage. Regular members don’t need it yet. If you’d like your club to join the beta, see the Event Planning page.

Where to find it

Open My Organization, go to your Dashboard, and choose the Event Planning card under Tools.

How it works

A typical season comes together in a few steps. Each has its own guide:

  1. Add your athletes — build your club roster, one by one or by importing a list.
  2. Create a seasonal plan— e.g. “Autumn 2026 – Group A”. You can keep several plans to separate groups or levels.
  3. Add competitions to the plan — from the events calendar, including proposing one to several athletes at once.
  4. Propose athletes & track status — decide who should attend each competition and follow your own planning status.
  5. Send accept/decline links — athletes or their parents confirm or decline participation, no account needed.
  6. See who’s in — an overview shows who has accepted, not yet responded, or declined across the season.
