Budget Planner
The Budget Planner lets you build a structured income and expense plan for your tournament. It supports templates, participant-scaled scenarios, and actuals tracking — everything you need to plan and follow up on event finances.
Creating a budget plan
Go to the Budget Calculator to start building a plan. Give the plan a name and choose a currency. You can then add income and expense groups manually or pick from pre-built template blocks.
Template blocks cover common tournament cost categories such as venue hire, referee fees, medals, catering, and entry fees. Select the blocks that fit your event and fill in the amounts.
Budget structure
A budget plan is split into two sides — Income and Expenses. Each side contains one or more groups(e.g. “Entry fees”, “Venue costs”), and each group contains posts.
Posts come in two types:
- —Simple— a fixed amount, e.g. “Hall rental: €800”.
- —Calculated— quantity × unit price, e.g. “12 referees × €50”. Useful when the total depends on headcount.
Posts can have sub-posts for a second level of detail. The parent post total is then the sum of its sub-posts.
Scenarios
Scenarios let you model how the budget changes at different participation levels — for example 60 %, 80 %, and 100 % of expected entries. Mark individual posts as scalable and the scenario panel will recalculate those posts proportionally while keeping fixed costs unchanged.
This is useful for understanding your break-even point and the financial risk of a lower turnout.
Linking to an event
A saved budget plan can be attached to an Event. Open the event, go to the Budget tab, and select the plan to link. Once linked, the budget is shown in the event overview so your team has one place to check both the schedule and the finances.
Currency
Each budget plan has a single currency chosen when the plan is created. Supported currencies:
All amounts are stored as integers in minor units (e.g. cents or öre) to avoid floating-point rounding errors.
